Welcome to VaidyaSathi. This Refund & Cancellation Policy explains the terms governing appointment cancellations and refunds for bookings made through the VaidyaSathi platform. By using our website, you agree to the terms of this Policy.

1. About VaidyaSathi

VaidyaSathi is an online doctor appointment booking platform. We only facilitate appointment booking between patients and registered doctors. VaidyaSathi does NOT provide medical consultation, diagnosis, or treatment.

2. Platform Fee

VaidyaSathi charges a Platform Convenience Fee for processing and managing appointment bookings. The consultation fee, if applicable, is paid directly to the doctor, clinic, or hospital and is not collected by VaidyaSathi unless specifically mentioned.

3. Cancellation by Patient

Patients may cancel their appointment before the scheduled appointment time through the website or by contacting customer support. Cancellation of an appointment does not automatically entitle the patient to a refund of the Platform Convenience Fee.

4. Platform Fee Refund

The Platform Convenience Fee is generally non-refundable because it is charged for processing and confirming the appointment. However, VaidyaSathi may issue a refund or credit in exceptional circumstances, including but not limited to:

• Duplicate payment due to a technical error.
• Payment deducted but appointment not generated because of a system failure.
• Technical issues caused solely by the VaidyaSathi platform.
• Any other case approved by VaidyaSathi after review.

The decision of VaidyaSathi regarding refunds shall be final.

5. Consultation Fee

Any consultation fee paid directly to the doctor, clinic, or hospital is governed solely by their respective refund and cancellation policies. VaidyaSathi is not responsible for refunds of consultation fees collected by doctors or healthcare providers.

6. Doctor Cancellation

If a doctor or clinic cancels an appointment:

• VaidyaSathi will make reasonable efforts to assist the patient in rescheduling the appointment.
• If rescheduling is not possible and the cancellation is due to a platform-related issue, the Platform Convenience Fee may be refunded or credited at VaidyaSathi's discretion.
• Consultation fee matters remain the responsibility of the doctor or clinic.

7. No-Show Policy

If a patient does not attend the scheduled appointment without prior cancellation:

• The appointment will be treated as a No-Show.
• The Platform Convenience Fee will not be refunded.

8. Technical Failure

If payment is successfully deducted but no appointment confirmation is generated, or the transaction fails due to a verified platform error, please contact our support team within 7 days of the transaction with the payment reference details for review.

9. Refund Processing Time

Where a refund is approved, it will generally be processed within 5–10 business days, subject to banking and payment gateway timelines. The actual credit date may vary depending on your bank or payment provider.

10. Fraudulent Transactions

VaidyaSathi reserves the right to refuse refunds where fraudulent activity, misuse of the platform, chargeback abuse, or violation of our Terms & Conditions is suspected.

We reserve the right to modify or update this Refund & Cancellation Policy at any time. The updated version will be published on our website with the revised effective date. Continued use of the Platform constitutes acceptance of the updated policy.
